The music was a nice touch but I originally placed it too close to where we were giving instructions. I had to move it so that people could hear me.
No one could hear me! Totally needed something to make me louder, especially as I'm short
Also the logging of TB & Coins did not go to well. One coin was stuck in the event until today. Next time will keep track of who brought what, and who took what. Thus 4 columns in the log sheet:
From Team, TB/Coin Code, Comments, To Team.
Submit earlier. We submitted our event a few days before the deadline. We kept thinking someone else would do it.
More Helpers. It was me, my wife and our 4 year old, plus my brother with cameras. Day of the event we had a few people just step up and help, one person helping lug stuff to GZ, and then a couple helping hand out the bags with everything and also went around for us with CITO bags at the end of the event. These three were unplanned helpers, but we sure appreciated their help and not sure we would have gotten everything handed out fast enough without their help.
Pick the biggest space possible and think about parking issues
Post-event event - Wish I'd planned or suggested a spot for folks to meet afterwards.
Avoid Event Time in Darkness - Our Event was 6 PM local time. This led to poor Video- and Photography conditions.
Keep instructions simple. Very simple. We tried to stress on our cache page and on our log sheets that it was important to identify how many people this log was for, yet many left it blank or put "ALL". People don't even read any more. Frustrating.
Plan for four times the amount you expect to show up.
Use baggies (zip locks?) with ink pen or pencil, HK, log sheet, simple instructions. We had clipboards in place of tables but didn't have enough.
Publicize a place to go after the event. Many of us were so stoked, wound up, and buzzed, we could not calm down all day.
Have artwork ready way ahead of the event.
More job descriptions:
Secretary - to record who won what, in the drawing
Printer - Print logs and muggle sheets
Musician - Brings a boom box with caching music
Location Manager - Check for permits, conflicting events, maybe find a spot
Webmaster - set up the event cache page
PR manager - contact local newspaper, radio, TV
Do not show an ammo can to the public.
One thing I would recommend for the next WWFM event is to have those who are handing out name tags and log sheets be sitting at the table instead of walking through the crowd. That caused a little bit of confusion that I wasn't ready for.
The only (very minor) problem was the Logger handing out AND taking in log sheets. Next time we will have one volunteer to hand out log sheets and another to collect them.
Our Food Service manager began handing out the food (Hershey's Kisses, Reece's Cups, and diabetic cookies) earlier than scheduled, but that didn't create any problems.
The only thing that I found challenging was the tight timings (like 15 minutes isn't tight enough). What I mean by that was the last 6-7 minutes were tough to get everyone into once place for the pic, do the door prizes and get the pic... the more people you get, the harder it becomes!!! it's a minor thing really, but something I felt needed to be brought up... maybe next time we can do without the "banquet" and that SHOULD free up the timings to make the rest of the event run smooth
I wish I had put on the logsheets 'number in team' as I am having to mail people to ask them! _________________ Cachin' with my sweetie...
